JMG Teleconferencing User Guide and Procedure

  1. PROCEDURE BEFORE VC
    1. Notification of an order should be made at least three (3) working days prior to the meeting date;
    2. The organiser needs to identify the VC software that will be used in the meeting and master the basic skills of using the software, such as creating links, sharing desktop, chat, video, and audio in the software;
    3. Then make initial preparations by loading the VC's turnaround, creating a login ID if necessary, and sharing the join meeting link with the consulting experts,
    4. Carry out dry-run sessions and initial testing by the council administrators involved with CPM. Make a review of VC equipment or applications the day before the meeting.
  1. PROCEDURE WHILE VC
    1. Organizer needs to setup VC equipment and preparations one (1) hour before the meeting starts with CPM;
    2. Organizer needs to make an initial invitation to the VC meeting via email along with a link to join the meeting.
  1. ETHICS USING TELECONFERENCING
    1. Do not disclose the VC link meeting to those who are not related;
    2. Any comments on issues that involve the agency or that take the form of a personal attack should be avoided;
    3. JMG staff who use video sessions need to ensure that the exposed skin does not contain sensitive matters;
    4. JMG staff are prohibited from using other people's accounts, sharing accounts, giving accounts to other people, using fake identities, or impersonating other people;
    5. JMG staff using video sessions need to ensure that the microphone is in silent mode while attending the meeting. The microphone is only activated when you want to talk;
    6. JMG staff who use video sessions need to be on time and be available early to ensure the smooth audio and video of the devices used; and
    7. Please make sure you exit when the video session ends to avoid virus attacks or the use of your ID by unauthorised parties.
